Regardless of vaccination status, all individuals visiting and attending meetings in the Executive Briefing Center must wears masks throughout the venue. This includes restrooms, lobbies, and elevators in addition to our meeting rooms. This is in response to guidance provided by the CDC as it relates to community transmission of COVID-19.
When booking space at the Executive Briefing Center there is onsite technical assistance that will be available to help connect your laptop to our in-house projection systems as well as do basic trouble shooting on EBC equipment, if necessary.
The Executive Briefing Center is available for both internal Virginia Tech bookings as well as external market clients. Requests for space may be made up to 365 days in advance of the booking date and is done on a first-come, first-served basis. As stated in our agreements, your event is subject to cancellation without penalty by either party, up to sixty days prior to the scheduled date of arrival. Cancellations inside of the sixty day window will be assessed as follows:
- If notified between 59 and 31 days in advance of the event: 60% of the anticipated revenue
- If notified 30 days or less prior to the event: 80% of the anticipated revenue
- If notified less than 2 business days (Monday-Friday) prior to the day of event: 100% of the anticipated revenue
The Executive Briefing Center does not have in-house catering services, however, clients are able to arrange catering services with any licensed and insured vendor. Vendors must provide a certificate of insurance with Virginia Tech and the Commonwealth of Virginia listed as additional insured parties prior to their provision of service. This is pretty standard and should be an easy request for your usual vendor.
The elevators up to the 2nd Floor Executive Briefing Center are scheduled based on your reservation. Please keep in mind when booking your reservation to account for set up and clean up time. If you have attendees who tend to arrive especially early to events please notify them of our policy.
Loading Dock Access
The access hours for the loading dock are:
- Monday – Friday:
9:00am-4:00pm and 6:00pm-8:00pm
- Weekends and Holidays:
All vendors will still have the ability to utilize the parking garage which has a clearance of 8’ for parking level 1 (P1) and 7’ for parking level 2 (P2). There is a 15-minute courtesy window for the parking garage in the event of a quick drop-off/delivery, however, beyond that time period the standard parking rates do apply. Vendors can use the spaces currently labeled as “Van Pool” on P1 for easy parking access on that level. If, by chance their vehicle does not clear the 8’ maximum for P1, they will need to find alternate parking. Parking in the fire lane, as always, is not an option.
There is a public parking garage beneath the Virginia Tech Research Center – Arlington (900 N. Glebe Road). The operating hours are Monday-Friday 6 a.m. - midnight, Saturdays and holidays from 10 a.m. - midnight, and Sundays from 10 a.m. - 10 p.m. The fee schedule is as follows: (although subject to change without notice):
- $5 – 1 Hour
- $9 – 2 Hours
- $12 – All Day Maximum (Mon-Fri)
- $7 – After 5pm Maximum
- $7 – All Day Maximum (Sat-Sun)
The garage is managed by Laz Parking, a third-party vendor. You can confirm the fee information above by calling their desk (703-243-7281).
Rooms Wheelchair Accessible
The Executive Briefing Center is ADA Compliant and the entire facility is accessible via wheelchair. There are designated handicap/disability parking spaces located in the parking garage beneath our building.
Wireless Internet is included in the room rental cost when booking space the Executive Briefing Center. The Network and Password are displayed in each meeting room for easy connecting. For those visitors who have an eduroam account, your device should connect automatically.
Our Zoom capable rooms allow you to utilize the in-room equipment, microphones, and cameras to seamlessly connect your Zoom meeting providing better quality. It is the client’s responsibility to create and monitor the Zoom Meeting. If planning to connect to the in-room cameras, be sure to use only NUMERIC characters (i.e. 1,2,3, …) to create your passcode. In order to utilize the in-room equipment when running a Zoom Meeting your account must be H.323/SIP Room Connector enabled (note if you are a Virginia Tech faculty/staff or student, your account is already enabled.)
